1 · Purpose & Scope
Ensures all Providers and registered business entities on the Via Hive platform meet the required licensing, insurance, and identity-verification standards for lawful operation within their jurisdiction.
This Policy applies to:

Individual Providers, Company Owners, and Employees under Team/Company accounts.

All service categories requiring local or state licensing, insurance, or permits.

3 · Verification Methods

Automated Integration: Primary verifications performed via Checkr API and Stripe Identity SDK.

Manual Review: When documents cannot be auto-validated, Via Hive Compliance Team performs a secure manual review.

Random Audits: 5 % of active accounts audited quarterly for license and insurance validity.

Third-Party Validation: Cross-checked against state licensing boards and insurance carriers.
4 · Failure to Maintain Compliance
If any required license or insurance expires or is found invalid:

Temporary suspension of affected categories or services;

72-hour grace notice to upload valid documents;

Automatic deactivation if no update after notice window;

Reactivation only after verified submission and approval.
Violations may be subject to strikes and recorded in the Deactivation & Appeals Policy (VH-DSA-2025).

6 · Fraud Prevention & Data Integrity

All uploads are timestamped and AES-256 encrypted.

AI forensics detect forged documents (license tampering or image editing).

Confirmed fraud → immediate permanent deactivation and possible referral to law enforcement.
7 · Renewal Reminders & Automation

Automated email and in-app reminders 30 and 7 days before expiry.

Dashboard status indicator (Valid ✔ · Pending ⚠️ · Expired ❌).

AI Renewal Assistant planned for Phase 10 integration.
8 · Appeals and Reinstatement
If deactivated for expired or rejected documents, Providers may appeal under the Deactivation & Appeals Policy (VH-DSA-2025). Appeal must include updated proof and explanation for delay.
9 · Data Retention & Privacy
Document copies retained for five (5) years after last activity or as required by law.
Access restricted to authorized Compliance Officers. All processing follows Provider Privacy Policy (VH-PPP-2025-R1.1).
10 · Equal Opportunity Statement
Via Hive enforces verification requirements consistently across all Providers and never uses them for unlawful discrimination or bias.
11 · Electronic Signature & Acknowledgment
By clicking “I Acknowledge,” Provider confirms that submitted information is true, accurate, and complete and agrees that this Policy is binding under E-SIGN and UETA.
